eTopia new feature: Time-Billing
Aug 1st
I am happy to inform that eTopia now includes Time-Billing functionality. It works very simply, and in just a few clicks you can have an Invoice for a client.
The process starts in eCalendar. Create your records that record the activity: day, begin time, end time, contact, organization, title and category. Not all fields are required, just use what makes sense to you.
Select the records in List window that you want to Invoice and highlight them. Click-hold on the body pop-up, and select from one of eight choices of how you would like the data to be grouped. You can move the data over 1:1, or group it by Title, Category, Contact, Organization, Day, Week, or Month. Make the selection that makes the most sense to you. Go to a (presumably new) record in eSales, and from either the Item or Products pop-up choose ‘Replace with items from eClipboard.’ The matrix will fill. Go ahead and fill in the missing details (hourly rate, client, etc.) and print your Invoice.
Quick, simple, accurate and easy.
Can I create a report that lists all my open estimates?
Jul 20th
I stole this question from an internet forum for a competitor’s product. The answer was:
“Yes you can do this. Start with a custom transaction detail report. Then filter it for the Transaction Type Estimate, the Posting Status Non Posting, and Estimate Active is Yes.”
Not very Quick, is it?
In eTopia, all you would do is visit the List window in eSales, and from the Type column, choose Sales Quotes. The list would instantly update to the desired records.
Open the window, one click. You can’t get much quicker than that!
The question reveals one of the major advances in eTopia. List window is what other programs consider a report.
Each module has a List window, so you can see any grouping you need whenever you need to see it quickly and easily. There is no program that can search and select data like eTopia.
List window has browser-like controls, so you can navigate back to previous selections. For example, after selecting Sales Quotes, you could select Sales Orders. If you wanted to go back to Sales Quotes, just click the arrow in the title bar to move forward or backward in time. It operates just like a browser, except this time you are browsing your data selections.
What is eTopia Personal Organizer?
Jul 19th
eTopia Personal Organizer is the Personal Edition of eTopia. It includes eContacts, eCorrespondence, eFinance, eCalendar and eCalculator. These files are just as robust as the Business Editions. They are not limited in any way.
eTopia Personal Organizer would replace programs like Quicken, Calendar and Address Book (on the Mac). Each file can be opened individually. While Apple gives Calendar and Address Book away for free, neither is anything like eContacts and eCalendar. They are bare bones programs. However, eTopia can import/export data if you need your contact and calendar data on an iPhone or iTouch. You can have the best of both worlds: portability and power.
Because eFinance is integrated with eContacts and eCalendar, it is a much more powerful combination than using Apple’s two programs with Intuit’s Quicken.
eTopia Personal Organizer is great for keeping track of log-ins, passwords, serial numbers, purchases, and friends, family and vendors. Any birthdays stored in eContacts can be displayed in eCalendar. Anniversaries can be entered directly in eCalendar or in a custom field in eContacts. Use eTopia Personal Organizer to keep track of the multiple phone numbers, websites and email addresses of friends and family.
eCalculator includes a Loan Calculator with an editable amortization table. If you have a loan, create the table to see how much is still owed and how much has been paid. You can add a memo to each line indicating check number and date. Also, if you make an extra payment, it will recalculate the loan schedule.
eTopia Personal Organizer will help you keep track of your People, your Time and your Money.
What is eTopia Business Software?

What is the difference between accounting software and business software?
A business application is outward looking, toward the customer, whereas an accounting application is inward looking, toward the accountant and tax issues. There is a fundamental difference in purpose and philosophy. eTopia looks at the big picture.
eTopia is based on the philosophy that all revenue is based on a happy customer. The customer is King! Customer Service is paramount. In the process of serving the customer competently, numbers, names, descriptions, quantities, amounts, values, dates, addresses are created. This information must be stored and tracked. A database of information is created. It is this data that is acted upon in the day-to-day activities of running the organization. Keeping the customer happy involves all facets of the business: sales, production, purchasing, inventory control, scheduling, marketing, shipping, billing, collections, payments, follow-up, payroll, taxes.
At the heart of pleasing one customer is pleasing a second one. The best source of new business is previous customers, either through new orders or referrals. It is common to have multiple contacts at the same location; different staff members, different departments, different locations. Collecting and using this data logically is one of the great challenges of most systems, and one that eTopia has solved elegantly. eContacts is the heart of eTopia. While each module can be used individually, they were all designed to work with eContacts, and the common challenge of multiple contacts at a single location.
Every order placed is as unique as the individual that places it. eTopia never loses sight of the fact that a business is a series of individual transactions triggered by the customer. All the tools necessary for employees to communicate and produce the desired product are included in eTopia. Accounting software focuses only on the books. eTopia seeks to connect everyone in the company and make them more efficient at servicing the customer. Whether it is one owner with many roles, or many employees with specialized roles, eTopia is a business software application.
